Security Policy

1. Introduction

ComponentSource wants to ensure a safe and secure environment for all its employees and visitors. It is the responsibility of employees to ensure that they follow and comply with Group security procedures and are diligent in reporting and responding to any breaches of security.

2. Personal Safety

At no time should employees risk their own personal safety. If an employee is faced with a potentially violent or threatening situation then they should raise the alarm and call security. If an employee sees an unattended bag or package then they should not touch or remove it and the CFO and/or Reception must be informed. Employees who are required to work in the evening should take care when travelling home. If an employee is concerned about travelling home late at night they should speak to their line Manager.

3. Access

Where employees are issued with a door security pass, it must only be used by the person it has been issued to. Loss of a pass should be reported to a line manager immediately. Visitors are required to sign in and must be accompanied at all times.

4. Bomb Threats and Threatening Phone Calls

If you receive a bomb threat or threatening phone call you must inform your line Manager and/or the CFO immediately. Do not yourself assume the call to be a hoax.

5. Personal Searches

From time to time ComponentSource will carry out personal searches. This will happen if there is a reasonable belief that there has been a breach of security, or that ComponentSource or customer or visitor or personal property is being removed without permission, or that there has been a breach of the Company’s Substance Misuse Policy. All employees are required to permit the Company to carry out full or random searches of their belongings and person when it reasonably considers this to be necessary, provided that searches are only conducted by authorised security staff or ComponentSource Managers (of the same sex, and in a private room, with another employee witness in attendance if so requested).

Searches will be limited to asking the employee to empty their pockets, bags, drawers or cabinets and to removing their coat, jacket or other outer clothing. Searches may take place on entry to or exit from ComponentSource premises, and may also extend to lockers and any other facilities used by employees for storage purposes. Employees are further required to permit and facilitate searches by authorised security staff or managers of their personal vehicle when on ComponentSource premises. Refusal to permit searches required on reasonable grounds without good reason may constitute gross misconduct which will be dealt with under the Disciplinary Procedure.

6. General Security Matters

  1. Employees are responsible for ensuring that all their visitors are not left unattended or allowed to walk around the premises unescorted. If an Employee sees any person unknown to them acting suspiciously on ComponentSource premises, this must be reported immediately to the Employee’s line Manager or to the CFO.
  2. Personal effects must not be left unattended at any time. ComponentSource does not accept responsibility for the loss, damage, or disappearance of personal effects. Notwithstanding this policy, if you suffer any losses these must be reported immediately to your line Manager or to Reception so that prompt action can be taken to attempt recovery and necessary measures can be made to prevent a recurrence.
  3. Employees must take care at all times not to have confidential papers on their desks when not in use and must maintain a clean desk policy, ensuring that at the end of each day all documents are stored in the relevant filing cabinets or desk drawers.
  4. All ComponentSource business is confidential in nature, and some Group business is subject to rigorous external security requirements and/or to legislation.
